The rules and conditions apply to the following categories only:

SAFETY AT SEA
Significant technical or procedural improvements leading to reduction of risk to human life at sea.

CLEAN SHIPPING
The Introduction of new, or significant improvements of existing technology which will support the objective of clean shipping.

INNOVATION IN SHIP OPERATIONS
An innovative project which has the potential significantly to improve the efficiency of any aspect of ship operations and/or cargo handling. Entries will be judged on originality and imagination combined with the perceived practicality of the idea. All submissions must be in sufficient detail for the judges to see the practical possibilities of the concept, supported by research or trial results if available.

INVESTMENT IN PEOPLE
An award to recognise a significant contribution to the recruitment, training, retention and advancement of the industry's most valuable asset, its people.

CONDITIONS OF ENTRY

1. Entrants may submit entries in more than one category, however, each entry must be a distinctly separate concept or product. Entrants may no longer enter the same product or process in more than one category.

2. If submitting more than one entry, a separate form must be completed for each.

3. In order to qualify for the 'Innovation in Ship Operations' category, the entry will normally have been introduced or approved during 2011, and have been trialled and proved practical in realistic situations* before the closing date.
*The judges may, however, consider exceptional entries even if this is not the case, providing the subject has not been entered in previous years.

4. Seatrade reserves the right to publish, in whole or part, details of any entries submitted for the Seatrade Awards 2012, following announcement of the shortlist.

5. All entries for the Seatrade Awards 2012 MUST be received by 16 December 2011. There can be no extension of this date for any reason.

6. No correspondence will be entered into concerning the eligibility of any application.

7. The judges shall have sole and absolute discretion in determining whether or not an application meets the requirements of or is in accordance with these rules and conditions.

8. Seatrade Award winners are required, by the judges, to give an update on the progress of their winning entry.

PROCEDURE

1. PLEASE READ ALL THE NOTES AND RULES, INCLUDING THE JUDGES FEEDBACK DETAILED BELOW, AS YOU COMPLETE YOUR ENTRY FORM.

2. Entrants must use the official online entry forms, to download visit www.seatrade-global.com/awards Entries must NOT be handwritten and NOT be returned electronically.

3. Fill in the correct entry form for the category which you are entering.

4. All entry forms must be fully completed and the declaration signed. Additional material may be supplied, and is encouraged, but it is NOT acceptable to submit the entry forms with only "see attached brochure" without any description or context to relate to the brochure. Twelve individually collated sets of the completed entry form and any supporting material are required.

5. Entries must provide sufficient information relevant to the criteria to enable the judges to have a clear understanding of the process, product or procedure involved, its merits and resulting benefits. Accuracy of figures and other information is essential.

6. Photographs, promotional material, drawings, results of trials, etc., should be submitted with the entry to assist assessment. Please note that TWELVE individually collated sets are required. This rule also applies to promotional DVD's, videos, computer diskettes, CD Roms etc., which are provided in support of an entry. Please check with the Secretariat regarding the formats required.

Seatrade accepts no responsibility for returning any such material, once the assessment procedure has been concluded.

7. ALL entrants MUST complete the summary - section 11 on the entry form. This summary must ALSO be submitted electronically via USB, disk or via email to cbradshaw@seatrade-global.com
NB you are NOT required to submit your entire entry form electronically, only section 11.

The summary should include:

* Date of approval/introduction to the market (if applicable)
* Brief description of the entry's innovative features

THIS TEXT WILL BE USED AT THE PRELIMINARY JUDGING STAGE AND IT MUST, THEREFORE, PROVIDE AN ACCURATE SUMMARY OF THE ENTRY.

NO ENTRY WILL BE CONSIDERED BY THE JUDGES IF THIS SUMMARY IS NOT PROVIDED.

8. We strongly advise that entries are sent by a secure and trackable postal service. Please note that entrants are responsible for all costs including import duties.

9. Once received, all entries will be acknowledged. If no acknowledgement is received within fourteen days of submission, please contact the Seatrade Awards Secretariat.

All information provided will be treated in confidence.

JUDGING

All submissions will be assessed during the first eight weeks of 2012. A final selection from a short list will be made by the judges on the day of the presentation ceremony. The judges' decision, which is final, will be announced at the Seatrade Awards Ceremony Dinner at London's Guildhall.

No correspondence as to the reason why a particular entry was not successful can be entered into following the short listing of entries or the announcement of the winners. As the judging committee's evaluation can only be based on evidence provided, it cannot be extended or interpreted beyond the purposes of the Seatrade Awards scheme, to give guarantees to any subsequent commercial usage.

The judges may, at their discretion, decide not to make an Award if they consider that none of the entries reach the required standard.

Winners will NOT be advised before the Seatrade Awards Ceremony Dinner. However, entrants will be notified if they have been included in the short list of entries. These entrants should ensure that they or a representative will be able to attend the Dinner for the presentation ceremony.

Feedback from Judges

Submitting an entry is an excellent opportunity to get your product/concept before this uniquely independent judging panel.

Make sure you maximise this potential by following the feedback from our judges:

* Completing your entry to the highest standard. It is no good your product being fantastic if the quality of your entry is poor!
* Impress upon the judging panel why you think your entry is a worthy winner of a Seatrade Award.
* Include a portfolio of marketing material.
* The 'human' element in all categories is important, so submit your entry even if it isn't overly technical.

SEATRADE AWARDS AND CERTIFICATES

Outright winners will each receive a trophy, specially commissioned by Seatrade. Runners-up will be presented with framed certificates of commendation. All short-listed companies may use the Seatrade Awards logotype (as shown) on their websites, stationery and publicity material in relation to the subject of the short listed entry.

PROCEEDS

In keeping with the non profit-making motives of the Seatrade Awards scheme, Seatrade will make a donation from the proceeds to the Royal National Lifeboat Institution (RNLI) and The Mission to Seafarers.
