DEADLINE FOR ENTRY HAS NOW PASSED

CONDITIONS OF ENTRY

1. NEW FOR 2010: Entrants may submit entries in more than one category, however, each entry must be a distinctly separate concept or product. Entrants may no longer enter the same product or process in more than one category.

2. If multiple entries are being made (either within a single category or in more than one category) a separate form must be completed for each.

3. Entries in the 'Safety at Sea' and 'Protection of the Marine and Atmospheric Environment' categories will normally have been introduced or approved during 2009, and have been trialled and proved practical in realistic situations* before the closing date.
*  The judges may, however, consider exceptional entries even if this is not the case, providing the subject has not been entered in previous years.

4. Seatrade reserves the right to publish, in whole or part, details of any entries submitted for the Seatrade Awards 2010, following announcement of the shortlist.

5. All entries for the Seatrade Awards 2010 MUST be received by 31 December 2009. There can be no extension of this date for any reason.

6. No correspondence will be entered into concerning the eligibility of any application.

7. The judges shall have sole and absolute discretion in determining whether or not an application meets the requirements of or is in accordance with these rules and conditions.

8. Seatrade Award winners are required, by the judges, to give an update on the progress of their winning entry.

PROCEDURE

1. PLEASE READ ALL THE NOTES AND RULES, INCLUDING THE JUDGE'S FEEDBACK DETAILED BELOW, AS YOU COMPLETE YOUR ENTRY FORM.

2. Entrants must use the official online entry forms. Entries must NOT be handwritten and NOT be returned electronically.

3. Indicate the category to which this entry refers, using a tick in the relevant box on the entry form.

4. All entry forms must be fully completed and the declaration signed. Additional material may be supplied, and is encouraged, but it is NOT acceptable to submit the entry forms with only "see attached brochure" on any part of the application. Twelve individually collated sets of the completed entry form and any supporting material are required.

5. Entries must provide sufficient information relevant to the criteria to enable the judges to have a clear understanding of the process, product or procedure involved, its merits and resulting benefits. Accuracy of figures and other information is essential.

6. Photographs, promotional material, drawings, results of trials, etc., should be submitted with the entry to assist assessment. Please note that TWELVE individually collated sets (see 4 above) are required. This rule also applies to promotional DVD’s, videos, computer diskettes, CD Roms etc., which are provided in support of an entry. Please check with the Secretariat regarding the formats required.

Seatrade accepts no responsibility for returning any such material, once the assessment procedure has been concluded.

7. ALL entries MUST include a summary of the product or procedure, (see section 14 on entry form). This summary must be text only (i.e. no diagrams, drawings, photos etc) and be between 400-500 words. A copy must also be sent on disk (see box below - Important requirement)

IMPORTANT REQUIREMENT:

ALL summaries must be sent both as:
• a hard copy within the entry form (Section 14), and
• as a CD or 3 1/2" floppy disk (only one summary disk is required).

The disk version must state the company name at the top, and be saved as either a MS Word document or as a .txt file.

The document must be pure text i.e. no company logos, no text in boxes etc.

The summary should include:

Date of approval/introduction to the market (if applicable)

Brief description of the entry's innovative features

THIS TEXT WILL BE USED AT THE PRELIMINARY JUDGING STAGE AND IT MUST, THEREFORE, PROVIDE AN ACCURATE SUMMARY OF THE ENTRY.

NO ENTRY WILL BE CONSIDERED BY THE JUDGES IF THIS SUMMARY IS NOT PROVIDED. (See box - Important Requirement)

8. We strongly advise that entries are sent by a secure and trackable postal service.  Please note that entrants are responsible for all costs including import duties.

9. Once received, all entries will be acknowledged. If no acknowledgement is received within fourteen days of submission, please contact the Seatrade Awards Secretariat at the address above.

All information provided will be treated in confidence.

JUDGING

All submissions will be assessed during the first eight weeks of 2010. A final selection from a short list will be made by the judges on the day of the presentation ceremony. The judges’ decision, which is final, will be announced at the Seatrade Awards Ceremony Dinner at London's Guildhall, Monday 24 May 2010.

No correspondence as to the reason why a particular entry was not successful can be entered into following the short listing of entries or the announcement of the winners. As the judging committee’s evaluation can only be based on evidence provided, it cannot be extended or interpreted beyond the purposes of the Seatrade Awards scheme, to give guarantees to any subsequent commercial usage.

The judges may, at their discretion, decide not to make an Award if they consider that none of the entries reach the required standard.

Winners will NOT be advised before the Seatrade Awards Ceremony Dinner. However, entrants will be notified if they have been included in the short list of entries. These entrants should ensure that they or a representative will be able to attend the Dinner for the presentation ceremony.

SEATRADE AWARDS AND CERTIFICATES

Outright winners will each receive a trophy, specially commissioned by Seatrade. Runners-up will be presented with framed certificates of commendation. All short-listed companies may use the Seatrade Awards logotype (as shown) on their websites, stationery and publicity material in relation to the subject of the short listed entry.

PROCEEDS

In keeping with the non profit-making motives of the Seatrade Awards scheme, Seatrade will make a donation from the proceeds to the Royal National Lifeboat Institution (RNLI) and The Mission to Seafarers.
